How Jimmy’s Car Hire removed 25 minutes of admin from every booking
A 12-car rental firm in South Africa. Every booking was copied, typed and chased by hand. We built a single system for the whole booking, from enquiry to return.

The situation
Every booking was typed into a spreadsheet, turned into a contract by hand, chased for payment and confirmed by message. That came to about 25 minutes of admin on each of 400 bookings a year.
What we did
We built a single system for the whole booking. It takes the enquiry, sends the quote, collects the signed contract and the deposit, sends reminders, records the handover and return, and issues the invoice. WhatsApp is part of the system, and anything that reaches a customer waits for a person to approve it.
The result
Every booking now takes 25 minutes less admin, about four working weeks a year. The team spends that time on decisions that need a person. The system is now available as Motorpool.
We’ve seen a 25-minute reduction in admin with every new booking we receive.
