Privacy policy
How we handle personal information, including messages you send us on WhatsApp.
Last updated 19 October 2026.
Who we are
BYND Consulting (“BYND”, “we”, “us”) is a company based in London, United Kingdom, working with clients in the UK and South Africa. We are the data controller for the information described here, and the responsible party for it under South Africa’s POPIA. Contact us at hello@byndconsulting.ai.
What we collect
- Enquiries. When you complete a form on this site we collect your name, business name, email address, phone number if you give one, your country, which kind of business you run and what you tell us about it.
- WhatsApp messages. If you message us on WhatsApp we receive your WhatsApp display name, your phone number and the content of your messages, including any files you send.
- Email and calls. Correspondence you send us, and notes we take on calls.
- Site usage. Pages visited and how you reached the site, through our CRM’s tracking cookie, and only if you accept it.
Why we use it
To reply to your enquiry, to prepare a proposal, to provide services you have asked for, and to keep records of our dealings with you. Our lawful basis is our legitimate interest in responding to enquiries and running the business, or the performance of a contract with you. Where we send you marketing messages we rely on your consent, which you can withdraw at any time.
We use the WhatsApp Business Platform. If you start a conversation with us, or tick a box asking us to message you on WhatsApp, we will reply on WhatsApp and may send automated messages such as confirmations, reminders and follow-ups. Reply STOP at any time and we will stop messaging you.
Messages are delivered by WhatsApp, which is part of Meta. WhatsApp message content is end-to-end encrypted in transit; once a message reaches our systems we store it alongside your enquiry record. Meta processes message metadata under its own terms. We do not send special category information over WhatsApp, and we ask you not to send us payment card details in a chat.
Who we share it with
We use a small number of providers to run the business: HubSpot (CRM and forms), Google Workspace (email and documents), Meta (WhatsApp Business Platform) and Cloudflare (hosting for this site). They process information on our instructions. We do not sell personal information and we do not share it for anyone else’s advertising.
Where it is stored, and for how long
Our providers store information in the United Kingdom, the European Economic Area and the United States, under the safeguards their contracts require. We keep enquiry records for three years from our last contact with you, and client project records for seven years so we can meet our legal and accounting obligations. Where a client project has its own retention rules — for example financial advice records in South Africa — those rules apply instead.
Cookies
This site uses one cookie, from our CRM, so we can see which pages are read and which page an enquiry came from. It is only set if you accept it, and it does not identify you until you send us an enquiry. Your choice is remembered in your browser, along with your choice of the United Kingdom or South Africa on the pages where that wording differs. No part of the site depends on the cookie. Change your choice.
Your rights
You can ask us for a copy of the information we hold about you, ask us to correct or delete it, object to how we use it, or ask us to stop messaging you. Email hello@byndconsulting.ai and we will reply within one month. If you are in the UK and are not satisfied, you can complain to the Information Commissioner’s Office at ico.org.uk. If you are in South Africa, the Information Regulator handles complaints under POPIA.
Work we do for clients
When we build or host a system for a client, including our CRM for advice practices and Motorpool, that client is the data controller for their customers’ information and we act as their processor under a written agreement: a UK GDPR processing agreement in the UK, or a POPIA operator agreement in South Africa. If you are a customer of one of our clients, contact them in the first instance and we will support them in answering you.
Changes
We update this policy when what we do changes. The date at the top shows when it was last revised.
